Through coaching, webinars, and strong user adoption, an efficient, secure, and future-ready work environment is being created. This transformation also enabled BAND to immediately begin testing AI tools such as Microsoft Copilott –  a milestone for digital efficiency and innovation.

Initial Situation and Objective

A new Era of digital Work.

BAND recognized the need to modernize its digital workplace in order to meet its own high standards for efficiency, workplace culture, and sustainable use of resources. To achieve this, the organization embarked on a comprehensive transformation of its digital work environment while adapting the way employees collaborate and work. On the technological level, this modernization effort was to be carried out through the introduction of a new digital workspace based on M365. The concept called for an M365 cloud strategy featuring a modern workspace client, a complete migration of data to Microsoft Teams, and the implementation of the latest security mechanisms. To achieve optimal user adoption, the changes brought about by this technological transformation in terms of work organization and culture were to be supported proactively and progressively. For this reason, among other measures, the establishment of an enthusiastic adoption community was encouraged, and the organization of tailored events and training sessions was planned. The approach ensured that the full potential of the Microsoft 365 workplace could be realized quickly and sustainably, delivering measurable improvements in employee productivity, collaboration, and overall user satisfaction.

One aligned Team with a shared Vision.

Given the complexity of the initiative, BAND and Epic Fusion adopted an agile project approach based on short iterations and close collaboration. A joint project team was established, working as equal partners throughout the transformation. The project began with a Readiness Phase, during which the technical foundation for the new digital workplace was established. This included extensive infrastructure work, the rollout of Windows 11 devices, and the development of tailored security and governance frameworks.

 

The Transformation Phase aims to align the new technological capabilities optimally with employees’ needs and make them fully usable for them. Starting with a pilot group, the circle of employees involved in the transformation process was steadily and organically expanded. At the same time, users were supported in their adoption process through coaching measures such as floorwalking and webinars, delivered in an individual and low-threshold manner. This not only ensured a smooth transition to the high-performance M365 work environment but also succeeded in generating enthusiasm for a new, more dynamic work culture in which employees independently initiate further process optimizations.

Solution

From Zero to Copilot AI - in just one Year.

Before the digital transformation, internal communication at BAND was primarily conducted via email and printed documents. Now, BAND workspaces are at the forefront of digital innovation. Thanks to the successful implementation of the Microsoft modern workplace, BAND was able to launch a pilot project right away when Microsoft Copilot was released. The efficient use of artificial intelligence is just one of the many advancements offered by the new, state-of-the-art M365 work environment. The success of the project is based on two key factors. First, the M365 infrastructure was not only implemented using a rigorous methodology and in compliance with the highest quality standards, but was also tailored as closely as possible to the specific needs of BAND employees. Second, Epic Fusion placed strong emphasis on the psychological and human aspects of the transformation process, introducing extensive measures to ensure optimal user adoption. The combination of these two factors led to a rapid, streamlined, and user-friendly implementation of the project. Thanks to the transformation of its digital work environment by Epic Fusion, BAND now has both highly efficient M365 modern workplaces and an adapted work culture that supports future optimization and modernization efforts.
